The individual will assist our Rebate Coordinator with our Visa Rewards Card (VRC) program and will work in our Western Corporate Office located in Kent, Washington. Candidates should have excellent customer service and communication skills, including experience compiling detailed spreadsheets utilizing Microsoft Excel.

Essential Functions:
  • Process email notifications to qualified customers using Microsoft Outlook
  • Update customer database with detailed information pertaining to VRC status
  • Review redemption forms for timely replies, completion, and accuracy
  • Assist customers with their VRC rebate questions in a professional manner
  • Update VRC spreadsheet outlining qualified customers and VRC status
  • Coordinate VRC rebate fulfillment utilizing outside vendor

Job Requirements:
  • Strong Microsoft Excel skills

Position Summary:
Under the direction of the Program Officer, the Program Assistant supports international students and young professional participants with application processing, customer service and program support efforts for Train USA’s 4500 Intern and Trainee participants annually. 

RESPONSIBILITIES 
  • Essential Duties and Responsibilities:

  • Assists with the processing of up to 600 applications for J-1 visa sponsorship under the guidance of the Program Officer:
  • Reviews participant application materials and documents for eligibility in line with federal regulation and company policy for final decision by the Program Officer
  • Answers program inquiries via phone/ e-mail re: our application process, program services and eligibility
  • Conducts telephone interviews with applicants to assess English and eligibility for program
  • Responsible for sending invoices and tracking payments.

  • Collaborates on miscellaneous projects as needed (For Example: composing external communication pieces, developing participant resources, hosting participant events, etc.)

  • Educates clients, participants on the J-1 visa regulations and purpose of Exchange Visitor Program

  • Supports participants during their programs in the U.S. by providing instructions and resources related to immigration and topics related to working in the U.S. such as obtaining a Social Security Number or health insurance
  • Escalates incidents or problems reported by participants or hosts to Program Officer as needed

## POSITION INFORMATION

KEY RESPONSIBILITIES

  • Responsible for assisting customers with travel requests by answering incoming calls and matching the features and benefits of Alaska Airlines to the needs of the passengers
  • Answer customer's inquiries regarding all aspects of their travel on Alaska Airlines or one of our travel partners

QUALIFICATIONS

  • High School diploma or equivalent required

  • Demonstrated knowledge and aptitude to use computers and related technology skillfully required
  • Fluent in Spanish highly preferred

  • Requirements for work from home: agents must live within 100 miles of the call center located in Ken, and within the state of Washington; must establish and maintain designated work area; must maintain at your own expense a dedicated telephone line and high-speed, hard wired internet connection - Minimum connection speeds must be met.

Description
This position is located in the Office of the Dean for Educational Policy at the Foreign Service Institute. The Regional Training Research Assistant reports to the Regional Training Coordinator and provides support for FSI projects related to regional training, adjunct faculty, and on-demand program activities. This position:
  • Provides support to the FSI Regional Training portfolio by maintaining current and accurate information for both the Adjunct Faculty Management Utility and the On-Demand Service system; and managing program data and statistics from the various regional entities in support of program goals.
  • Supports the sharing and exchange of information with and between the adjunct faculty and with and between our Regional Training partners by posting and curating resources and other documentation on the Regional Training SharePoint, intranet and website as requested and ensures that materials are up to date.
  • Supports event planning and logistics for the annual Regional Training workshop; duties include managing logistics requirements, liaising with the participants and invited guests, coordinating resources, providing event support, designing and administering end-of-training surveys and analyzing collected data for program improvement.
  • Provides complex and routine administrative support for the FSI Regional Training Team, the All-FSI Regional Training Group (RTG); and the Annual Regional Training Workshop, such as scheduling meetings, coordinating resources, collecting, compiling and disseminating information, and performing general research support.
  • Supports the needs of the Regional Training Adjunct Faculty through research of professional development resources and maintenance of a SharePoint devoted to maintaining and further developing their training and delivery skills.
  • Supports the future of the Regional Training platform by researching and suggesting implementation strategies for technological tools designed to maintain and share information and promote Regional Training’s story.
  • As requested, drafts memos, meeting notes, summaries, emails or other communications with key stakeholders.
  • As requested, drafts flyers and invitational memorandums, distributes and collects administrative documents associated with professional development programs. Posts and curates resources and other documentation on the FSI SharePoint, intranet and website as requested and ensure materials are up to date.
Working as a member of the administrative support team, coordinates with other Dean’s Office staff to achieve seamless and professional support for the programs in the Office of the Dean for Educational Policy. Incumbent provides backup support to the Outreach & Educational Technology and Curriculum & Evaluation Training Research Assistants and the Director’s Office Staff Assistant, including assistance at events hosted by the Director’s Office.
